Executive Assistant
Purpose of position
Crossroads Christian Communications Incorporated (CCCI) seeks a highly relational experienced administrative professional who will support the Chief Operating Officer/Chief Content Officer (COO/CCO) to ensure the goals and project plans for the day-to-day operations are achieved.
Responsibilities
- Attend meetings, record minutes, and track action items to completion.
- Attend to matters to communicate direction or guidance on behalf of the COO/CCO.
- Help facilitate meetings when required.
- Perform administration tasks, including generating reports, crafting correspondence, and completing various internal forms.
- Assist with crafting corporate internal communications.
- Respond to the COO/CCO’s emails as required to ensure workflows are not delayed or paused.
- Schedule and organize meetings in the COO/CCO’s calendar. Assist with the setup of meetings, including hospitality responsibilities when required.
- When required, file and maintain in-house legal documents, working with the appropriate stakeholder.
- With Direction from the COO/CCO, administrate, communicate, and file contracts with external parties.
- Track and monitor contract deliverables.
- Track renewals of licensing materials as needed.
- With the direction of the COO/CCO, complete forms and annual agreements on behalf of Crossroads for programming, licensing, and trademarks.
- Provide administrative assistance to the corporate office when required.
Qualifications and experience
The preferred candidate will have the following education, experience, and personal attributes:
- Completion of post-Secondary studies in Business Administration. Media Studies are an asset for this role
- Three years of administration experience in a corporate environment working effectively with multiple levels of management and functional roles
- A high level of professionalism and ability to work in strict confidence
- Experience with effective preparation and review of executive communications
- Excellent proofreading skills
- Experience working with contracts
- Ability to anticipate and quickly assess continually changing project needs and adapt resources and strategies accordingly
- Confidence in public speaking and presentation
- Excellent interpersonal skills
